Google Storage Quotas

All New School student, faculty, staff, and non-person Google accounts are provisioned with a standard storage quota of 25GB. Google Shared Drive accounts have a standard storage quota of 10GB.  

Staff, faculty, and non-person accounts who have identified particular educational, research, or New School business project requirements may seek additional storage space after initially following these guidelines for clearing storage. Once the guidelines have been followed, you can request additional storage below

Students will not be granted additional storage and should also adhere to the instructions for decluttering their storage space.

 

Quota Implementation

Storage quotas for non-person accounts and Google shared drives will go into effect on November 30, 2023

 On this date:

  • All non-person accounts that contain less than 25 Gigabytes (GB) of data will have a storage quota of 25GB applied. If the non-person account is using more than 25GB of storage when quotas are implemented, the non-person account will receive a larger quota to accommodate this additional storage usage. This will ensure that those accounts that are above the standard 25GB quota will continue to be able to use Google services without interruption.
  • All Google shared drives that contain less than 10GB of data will have a storage quota of 10GB applied. If the non-person account is using more than 10GB of storage when quotas are implemented, the non-person account will receive a larger quota to accommodate this additional storage usage.

  • Quotas for all student, faculty, and staff accounts went into effect on June 28, 2023.
  • If the owners of larger accounts reduce their size, their quota will be lowered, but will still be above their stored amount. These reductions will continue until the account is smaller than 25GB and the quota is set at 25GB.
  • Accounts that are extremely large may be contacted to discuss how the storage is supporting coursework, research, or university work, and whether other options at The New School may be a better fit.

Google Storage Increase Request Form

Requests for more storage will only be reviewed for accounts who have identified specific education, research, or New School business projects needs for additional storage above their current storage quota.  

Requests must minimally meet the criteria identified below, however, additional questions may need to be answered if the needs for additional storage are not clearly defined.

Approval criteria:

  • Request for storage must meet a clearly defined education, research, or New School business projects need.
  • The requestor has less than 5% storage remaining in the account or Google shared drive they are requesting a storage increase. Requests that are made where the requestor has more than 5% remaining will be automatically declined.
  • Increase requests for archive accounts will not be approved.
  • The requestor has cleaned up the Google storage space of the account or Google shared drive by deleting old and unnecessary files and email and still requires more storage.
  • The individual making the request must have migrated older files to other storage spaces (i.e. OneDrive).
  • Other available storage options (including OneDrive and Shared Drives) do not meet the needs of the request.
  • We will also review if additional exemptions have been made for the individual making the request. If there have been additional exemptions, the individual must clearly specify why an additional exemption is needed above the one’s already provided. This may require a more direct conversation about overall storage needs.
