Managing Zoom AI Companion Settings

Zoom AI Companion can only be enabled by hosts of a meeting and all settings will follow the hosts preferences.

Manage your Zoom AI Companion Settings

  1. Go to newschool.zoom.us

  2. Click Sign In and enter your New School NetID and password, if prompted

  3. Click Settings on the left navigation bar

  4. Under the AI Companion tab review the available settings and configure the settings.

Understanding Zoom AI Companion Settings

Note: 

  • Zoom AI Companion should only be enabled within individual meetings. It is not recommended to have Zoom AI Companion on by default on your New School account.

  • Changing settings will only impact newly created meetings. Any meetings that were created prior to changing Zoom AI Companion settings will not incorporate the new settings. 

  • You will not be able to change Zoom meeting settings if creating a Zoom meeting in a Google Calendar invite. Once the meeting is created, you can log into the Zoom web portal, locate and edit the meeting you set up via Google Calendar, and then update the AI Companion settings.

  • Any grayed out settings in the Zoom web portal cannot be changed by New School users.

General

AI Companion panel in Zoom Workplace

Enables the AI companion in Zoom. With this setting on you will see the AI companion button in New School Zoom meetings. 

 

Even though this setting is enabled does not mean that Zoom AI can be used in any Zoom meeting. AI features have to be enabled by the host of the meeting.

Enabled by default. You can disable AI Companion by switching it off.

*Note: You can tell if Zoom AI Companion is enabled in a meeting by looking for the star AI companion icon in the meeting.

Meeting

Allow users to ask AI Companion questions about the meeting

Allow hosts and invited participants to ask questions to AI Companion during a meeting. Questions are answered based on the conversation transcript.

This setting is Enabled by default and Locked by Admin and cannot be edited.

Hosts of a meeting can allow access to AI Companion during meetings by editing the AI Companion setting in the meeting itself.

Share Access With

This allows you as a host of a meeting to manage AI Companion access.

This setting is Locked by Admin and cannot be edited.

The New School limits access to AI Companion and it’s outputs to those with New School accounts. 

Meeting summary with AI Companion

As a host, you can generate a summary of a meeting. Summaries are sent via email after the meeting has ended based on the share options.

Enabled by default. You can disable this setting by switching it off.

When enabled, “Turn on meeting summary automatically when meetings start” should be set to off or unchecked. 

This feature can be turned on in individual meetings once they are started.

Automatically share summary with

Automatically emails a summary of the meeting to specified individuals.

This setting is Locked by Admin and cannot be edited.

Meeting summaries will automatically share with hosts, cohosts, and alternative hosts.

Meeting summary templates

Select a meeting summary template for your meetings. After the meeting, the summary will be generated into the new template.

Enabled by default. You can disable this setting by switching it off.

IP address access control

Allows you to block access to specific IP ranges.

Disabled by default. You can enable this setting by switching this setting on.

This setting should only be used if you understand IP blocking as blocking certain IP ranges can prevent you from having New School related Zoom meetings.

Remind me to turn on AI Companion when I’m hosting a meeting

Reminds you to turn on AI Companion when a meeting starts.

Disabled by default. You can enable this setting by switching this setting on.

Auto-delete meeting summaries

Summaries will be moved to Trash in a specified number of days.

This setting is Enabled by default and Locked by Admin and cannot be edited.

Meeting summaries will automatically moved to trash in 30 days.

Use screen share content with OCR

Use screen share content with Optical Character Recognition (OCR) to generate more accurate and relevant AI Companion results. OCR converts images of text screen shared during a meeting into machine-readable text.

Disabled by default. You can enable this setting by switching this setting on.

Use meeting chat messages

Use in-meeting chat messages, excluding direct messages, to provide additional context to AI Companion features.

Enabled by default. You can disable this setting by switching it off.

AI generated virtual backgrounds

Allow users to customize their video background using an AI generated image. This setting requires that Virtual background also be enabled in order to generate and save an AI generated background in the Zoom app.

Enabled by default. You can disable this setting by switching it off.

Recording

Smart recording with AI Companion

Cloud recordings can have recording highlights, summary and smart chapters, next steps, and meeting coach.

Enabled by default. You can disable this setting by switching it off.

When enabled, all options under “Create with each recording” are selected. You can deselect options by unchecking them.

Voice recorder with AI Companion

Voice recorder with AI Companion transcribes and generates a summary of your conversation.

Enabled by default. You can disable this setting by switching it off.

Clips

Create with avatars


 

Allows you to create clips that uses your user's chosen avatar to read the script they enter.

Enabled by default. You can disable this setting by switching it off.

Create custom avatars

Allow users to create custom avatars for clips that would read the script they enter.

Enabled by default. You can disable this setting by switching it off.

Whiteboard

Whiteboard content generation with AI Companion

Use AI to create content on the whiteboard canvas. You can add, modify, and extend content on the board.

Enabled by default. You can disable this setting by switching it off.
